On-line competition guidance

  • Competition entry is restricted to members of the Hereford SA Photography Club.
  • Entries for the monthly competition may be submitted up to the end of the last day of the relevant month for that particular theme. Any entries submitted later than this final submission date will not be considered.
  • Please note that entries are now processed automatically by the website
  • Entries must be in Jpeg file format and downsized to 1600 pixel resolution on longest width / height (see Club Secretary for guidance about re-sizing images). If larger images are uploaded, the website will resize them automatically and this may impact quality.
  • Files of over 8MB in size will be automatically rejected.
  • Be aware that any EXIF data present in your images is removed upon uploading the files.
  • It is recommended to export your images using the sRGB colour space - this is the default for most software packages. If other colour spaces are used, the photo may not be rendered correctly on the website.
  • A confirmation email will be sent automatically when an entry is received and processed.
  • Entries to be submitted as an email attachment to competition@hsaphoto.org 
    • Please do not use this email address for general correspondence as it will be ignored.
    • The Secretary can submit entries on behalf of members with no computer
  • All entries must include
    • Month and year of competition
    • Theme
    • Title of Photograph
    • Name / Membership number (this will not appear on the website as it is for admin purposes)
    • an attached photograph (Jpeg format re-sized as above)
  • Example email subject line : Jan 2019/Spring/Bluebell Wood/Fred Bloggs 99
  • Maximum of 2 entries per member per month to be sent as separate emails please
  • Photographs previously entered in Hereford SA Photography Club competitions are not allowed.
  • All entries should reflect the core values of the club. The committee retains the right to withdraw any images they deem unsuitable.
  • Entries once accepted cannot be withdrawn.
  • Winning entries and winners names will be published on the website in the following month.
  • All entries must be the individuals own work.
  • Entries will be marked at the end of the month by an independent judge whose decision is final. (The judge will have access to the full size image for critical viewing and decision making).
  • Points will be awarded as follows: 1st = 5 points, 2nd = 4 points, 3rd = 3 points, Specially commended = 1 point.
  • All points awarded will count towards the “Digital Photographer of the Year” competition award, which will be separate from the print competitions.
  •  The image copyright remains in the ownership of the author but the Club reserves the right to display the image on the website or other promotional material. However you should be aware that all images uploaded to any website are effectively released into the public domain and can be downloaded by anyone.
